Reservation Policies

Welcome to Camp Bow Wow – Dulles South!

As we proudly open our doors to the Chantilly community, our goal is to provide flexible, transparent, and fair reservation policies while delivering the exceptional care, safety, and customer service you and your dog deserve.

Because we are a growing Camp, these policies have been designed to make it easy for families to experience Camp Bow Wow while ensuring we can continue providing a safe, fun, and enriching environment for every Camper. As our Camp grows and demand increases, certain reservation requirements may be adjusted during peak demand periods to continue providing an exceptional experience for all of our customers.

Camper Requirements

To ensure the health and safety of every Camper, all dogs must meet the following requirements before participating in daycare or boarding.

Eligibility

• Minimum age: 4 months
• Successfully complete Camp Bow Wow's Meet & Greet evaluation.
• Be healthy and free of contagious illness.
• Comply with Camp Bow Wow's current spay/neuter requirements for participation in group play.
• Have current vaccination records on file for:
  • Rabies
  • DHPP (Distemper/Parvovirus)
  • Bordetella

Vaccination records must be received and approved prior to your dog's first visit.

General Reservation Policies

Boarding Check-In

Boarding check-in is available during normal business hours.
For the best Camper experience, we recommend boarding arrivals by 3:00 PM so your dog has ample opportunity to participate in daycare before dinner and bedtime.

If your dog requires dinner at Camp, please arrive no later than 5:00 PM.

Boarding Checkout

Boarding checkout is 11:00 AM.

Guests checking out after 11:00 AM will automatically receive our Extended Stay option for $30, allowing their dog to continue enjoying daycare until pickup.

The Extended Stay fee is waived for dogs receiving a bath or grooming service during their boarding stay.

Late Pick-Up Policy

For the safety of our Campers and Camp Counselors, Camp closes promptly at the end of business hours.

If your dog has not been picked up before closing, your daycare reservation will automatically convert to an overnight boarding stay, and the applicable overnight boarding rate will apply.

Daycare Packages

• Daycare packages never expire.
• No refunds will be issued after 7 calendar days from the date of purchase.

Boarding Reservation Policies

Standard Boarding Reservations

• No deposit is required for standard (non-holiday) boarding reservations.
• A valid credit or debit card must be maintained on your account for all boarding reservations.
• Camp reserves the right to authorize or charge the card on file for applicable cancellation fees, no-show fees, unpaid balances, or other charges authorized under these policies.
• Payment for boarding services may be collected at check-in or checkout.

Standard Reservation Cancellation Policy

Reservations cancelled 48 hours or more before the scheduled check-in date may be cancelled without penalty.

Reservations cancelled within 48 hours of check-in, or no-show reservations, may be subject to a cancellation fee of up to one night's boarding, at Camp Management's discretion.

Camp Management reserves the right to waive cancellation fees due to documented emergencies or other extraordinary circumstances.

Holiday & Peak Season Reservation Policies

Holiday and Peak Season policies apply during designated high-demand periods, including but not limited to:

• Spring Break
• Memorial Day
• Independence Day
• Labor Day
• Thanksgiving
• Christmas
• New Year's

Additional peak periods may be designated by Camp based on anticipated demand.

Seasonal Pricing

Holiday and Peak Season reservations are subject to Camp's published seasonal pricing.

Minimum Stay

A 2-night minimum stay may be required during Holiday and Peak Season periods.

Camp reserves the right to increase minimum stay requirements during periods of exceptionally high demand.

Holiday Deposit

A deposit equal to 50% of the total boarding reservation is required to confirm Holiday or Peak Season reservations.

Reservations are not considered confirmed until:

• The required deposit has been received; and
• The Primary Contact has received a reservation confirmation by email or text from Camp.

Failure to submit the required deposit within the requested timeframe may result in cancellation of the reservation request.

Holiday Cancellation Policy

More than 7 days before arrival

• Full refund or Camp credit, at Camp Management's discretion.

3–7 days before arrival

• Deposit will be converted to Camp credit for future Camp services.

Less than 72 hours before arrival

• Fifty percent (50%) of the deposit will be forfeited.
• The remaining fifty percent (50%) will be issued as Camp credit.

No-call / No-show

• The entire deposit will be forfeited.

Camp Management may make exceptions due to documented emergencies or extraordinary circumstances.

Waitlist

Once Holiday or Peak Season boarding reaches capacity, additional reservation requests will be placed on a waitlist.

Reservations will be processed as space becomes available and in the order reservation requirements have been been completed.

Early Departure Policy

No refunds or credits will be issued for shortened boarding stays or early departures.

Reservation Confirmation

Reservations are not guaranteed until confirmation has been issued by Camp.

Customers are encouraged to review their reservation confirmation upon receipt and notify Camp promptly of any discrepancies.

Camp Policies

Camp Bow Wow – Dulles South reserves the right to:

• Decline or discontinue services for any dog that presents a health, behavioral, or safety concern.
• Refuse admission for dogs that do not meet vaccination or behavioral requirements.
• Modify reservation requirements during periods of unusually high demand.
• Update pricing and reservation policies at any time. Changes will not affect previously confirmed reservations unless required by law or mutually agreed upon.
